Launching a digital stamp card at your counter: a practical checklist

Switching from paper to a digital stamp card takes an afternoon. These are the decisions and steps that make the first week go smoothly.

1. Decide the rules

  • Stamps per card (8 is a good default for coffee)
  • What earns a stamp — and what doesn't
  • A daily cap to prevent mistakes
  • Whether extra stamps roll over

2. Design the card

Use your colours and an icon customers recognise. Keep the reward wording short: "Free coffee of your choice".

3. Print the QR where people wait

By the till, on table tents, on the takeaway menu. Joining takes a first name and two ticks; it works while the coffee is being made.

4. Brief the team in five minutes

  • Open the scanner on a staff phone
  • Scan, stamp, and how to redeem
  • What to do if the camera fails: type the code

5. Honour the paper cards

Decide how to convert existing paper cards — for example, staff add the same number of stamps once, during the first month.

6. Watch the first week

Check how many customers joined and whether redemptions look right. Adjust the reward or cap if needed; the cards update on their own.

Every visit counts.
